Job Overview

We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. The ideal candidate will possess strong administrative skills, excellent communication abilities, and the capacity to manage multiple tasks efficiently. This role requires a detail-oriented professional who can handle confidential information with discretion while providing exceptional support to executive leadership. The Executive Assistant will serve as a key point of contact for internal and external stakeholders and ensure smooth daily operations within the executive office.

Responsibilities

  • Manage and maintain the CEO's calendar using Microsoft Outlook Calendar, scheduling appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents with high accuracy, including proofreading and data entry.
  • Handle incoming calls via multi-line phone systems with professional phone etiquette, screening and directing inquiries as appropriate.
  • Organize and maintain filing systems both electronically (Google Workspace) and physically to ensure quick retrieval of documents.
  • Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping.
  • Coordinate meetings by preparing agendas, taking minutes, and following up on action items.
  • Serve as front desk receptionist when needed, greeting clients and managing office supplies.
  • Utilize Office experience to support various administrative functions such as filing, copying, and document management.
  • Support special projects as assigned by the CEO with organizational skills and attention to detail.

Requirements

  • Proven clerical or administrative experience in an office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with bookkeeping tasks is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent written and verbal communication skills along with professional phone etiquette.
  • Ability to handle multiple responsibilities simultaneously while maintaining accuracy.
  • Typing speed of at least 60 words per minute with high attention to detail.
  • Familiarity with multi-line phone systems and front desk operations is a plus.
  • Experience in proofreading, data entry, filing, and office management procedures. Job Type: Full-time

Pay: Up to $3,000.00 per month
