Creative Office Assistant & Executive Assistant to the CEO

We are seeking an experienced Office Assistant with a unique blend of creativity, resourcefulness, and common sense to join our team. As the Creative Office Assistant & Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of our office while also providing high-level support to the CEO and contributing innovative ideas and solutions to enhance our productivity and efficiency.

Responsibilities:

Administrative Support

  • Provide comprehensive administrative support to various departments, including minutes, scheduling meetings, managing calendars, organizing files, and handling correspondence.
  • Act as the primary point of contact for the CEO, managing communication and scheduling on their behalf.

Office Management:

  • Oversee day-to-day office operations, including office supplies inventory management, equipment maintenance, and facilities coordination. Implement creative solutions to streamline processes and optimize workflow.
  • Assist the CEO in managing their office space and workflow efficiency.

Communication Liaison:

  • Serve as a communication liaison between internal teams, external vendors, and clients. Utilize effective communication skills to convey information clearly and promptly.
  • Draft and edit correspondence, reports, and presentations for the CEO as needed.

Problem Solving:

  • Demonstrate a proactive approach to problem-solving by identifying challenges and implementing innovative solutions. Think outside the box to address issues and improve operational efficiency.
  • Anticipate needs and proactively address issues to support the CEO in achieving their goals.

Project Assistance:

  • Assist in various projects by coordinating tasks, tracking deadlines, and providing logistical support as needed. Contribute creative ideas to project development and execution.
  • Support the CEO in project management and execution, ensuring timely completion and high-quality results.

Data Management:

  • Maintain accurate records and databases, ensuring information is up-to-date and easily accessible. Utilize common sense and attention to detail to handle sensitive information with confidentiality and discretion.
  • Assist the CEO in gathering and analyzing data to inform decision-making and strategy development.

Qualifications:

  • Minimum of [2] years of experience in office administration or related field.
  • Proficiency in Microsoft Office Suite and other office management software.
  • Excellent organizational skills with a keen attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
