About the Role
We're looking for someone who shares our passion for creating world-class experiences and genuinely cares about helping consultants transform their businesses and lives. This isn't just about logistics and coordination; it's about being part of the transformation journey for our members.
As our
Community Engagement and Events Specialist
, you'll play a pivotal role in increasing client retention and experience quality by ensuring members feel supported, engaged, and consistently connected to the Clarity Coaching ecosystem. You'll orchestrate both our in-person masterminds and online programming to deliver experiences that embody our world-class standards and La Familia culture.
This begins as a part-time contract role (~15–20 hours per week) with significant potential to become a full-time position for the right person. You'll work closely with our Head of Client Experience, our coaching team, and our founders to create the kind of experience that makes consultants say, "This changed everything."
Core Responsibilities
1. Client Engagement & LMS Experience
Your primary focus is making sure no member feels invisible or unsupported:
- Proactively engage members inside the LMS community
- Track participation patterns and identify disengaged clients early
- Conduct personalized outreach to re-engage members with warmth and intentionality
- Foster a strong sense of belonging, momentum, and peer connection
- Create opportunities for members to connect, share wins, and support each other
- Support the high-integrity community environment that makes Clarity Coaching different
2. Online Event & Calendar Orchestration
You'll ensure our online programming is consistent, valuable, and aligned with member needs:
- Manage coaching call calendars across all our coaching tiers
- Coordinate with coaches to ensure sessions are scheduled, prepared, and aligned
- Plan at least 6 months of programming in advance with a compelling calendar of topics
- Arrange panel discussions, breakout topic groups, and special training sessions
- Ensure every call delivers value that supports retention and member transformation
- Create clear communication and reminders so members never miss valuable sessions
- Prevent operational breakdowns, missed calls, or confusion
3. In-Person Mastermind Events (2x per year)
You'll own the full experience design and execution for our world-class in-person events:
- Venue Selection:
Research, evaluate, and select exceptional venues that align with our brand
- Logistics Coordination:
Manage all aspects of event planning including travel, accommodations, catering, AV, and materials
- Experience Design:
Create agendas, workbooks, session flows, and breakout structures that deliver transformation
- Vendor Management:
Coordinate with venues, suppliers, and service providers to ensure flawless execution
- Pre-Event Communication:
Ensure attendees have everything they need and feel excited to participate
- On-Site Leadership:
Be present at events to manage logistics, troubleshoot, and ensure the experience exceeds expectations
- Post-Event Follow-Up:
Gather feedback, capture lessons learned, and continuously improve the experience
These events host up to 50 consulting business owners and must reflect our commitment to world-class standards. Every detail matters — from the quality of the workbooks to the flow of the agenda to the feeling in the room. This is where relationships deepen, breakthroughs happen, and our La Familia culture comes alive.
4. Retention Support
You'll be an essential partner in keeping members engaged and renewing:
- Support renewal and retention efforts through proactive engagement
- Flag at-risk members early based on participation patterns and engagement signals
- Partner with leadership to provide insights on engagement health and retention trends
- Help members see and feel the value of staying connected to the community

Ideal Candidate Profile
You're passionate about:
- Creating exceptional experiences that help people transform their businesses and lives
- Building genuine connections and fostering community

You bring:
- Experience managing online communities, LMS platforms, or member engagement programs
- Event planning and coordination experience (ideally managing events for 40–100 people)
- Strong organizational skills and the ability to manage multiple moving parts simultaneously
- Comfort with client communication, outreach, and relationship building
- A proactive mindset — you see what needs to happen and make it happen
- Understanding that retention and engagement are critical business outcomes
- The ability to work independently while staying aligned with team priorities
