Job Summary

The Property Administrator plays a key role in the efficient management of our residential properties. This role is ideal for someone who is highly organized, detail-oriented, and thrives in a fast-paced environment. This position is responsible for overseeing administrative functions, lease management, tenant relations, financial transactions and reporting and ensuring compliance with company policies and industry regulations.

The ideal candidate will have strong communication and client service skills, the ability to manage multiple priorities, and a proactive approach to problem-solving. Experience with Rent Manager or similar property management software is considered an asset, but is not required.

Key Responsibilities

Property Administration & Lease Management

  • Oversee day-to-day administrative operations for assigned properties.
  • Drafting, review, and managing lease agreements, amendments, and renewals.
  • Maintain accurate lease documentation and ensure compliance with lease terms.
  • Track key lease dates, including expirations, renewals, and rent escalations.

Tenant Relations & Customer Service

  • Act as the primary point of contact for tenants, addressing inquiries, concerns, and service requests.
  • Assist in coordinating tenant move-ins and move-outs, ensuring a seamless process.
  • Communicate property updates, maintenance schedules, and policy changes to tenants.
  • Foster strong tenant relationships to enhance retention and satisfaction.

Financial & Reporting Responsibilities

  • Assist with rent collection, monitor accounts receivable, and follow up on outstanding payments.
  • Prepare financial reports, including unit vacancy and turnover, work orders, utility consumption, and other operating expenses and variance reports
  • Work with accounting teams to reconcile financial records and lease-related charges.

Property Operations & Maintenance

  • Collaborate with property managers and maintenance teams to ensure timely resolution of maintenance requests.
  • Maintain a database of service providers and ensure compliance with contracts and agreements
  • Coordinate service contracts and vendor management for property upkeep.
  • Support the implementation of sustainability initiatives and energy efficiency programs.
  • Support for building systems and access controls.

Compliance & Risk Management

  • Ensure compliance with local property regulations, health and safety standards, and company policies.
  • Maintain accurate records related to insurance, permits, and regulatory requirements.
  • Assist in preparing documentation for audits and inspections.

Qualifications & Skills

  • Education: Post Secondary Education in a related field.
  • Experience: Minimum of 2-3years as an administrator, property management industry preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite. Experience with property management software (e.g. Rent Manager or similar) considered an asset.
  • Key Competencies:
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and problem-solving abilities.
  • Effective communication and interpersonal skills for tenant and stakeholder interactions.
  • Ability to work independently while collaborating with a team.

Working Conditions

  • Office-based with occasional on-site property visits.
  • May require extended hours during peak leasing or reporting periods.
