Position Overview

The Event Operations Coordinator serves as a key liaison between the Client Experience Team and the Operations Team, and the Clients to ensure the seamless execution of events and venue operations. This role is critical in maintaining operational efficiency, upholding facility standards, and delivering exceptional experience for clients and guests at every event hosted by Excite Lethbridge.

The successful candidate will demonstrate strong customer service skills with an exceptional level of professionalism. Additionally, organizational and communication skills, operational awareness, and a proactive approach to anticipating and addressing issues that impact the client experience are required for success.

Key Tasks & Responsibilities

Operational Coordination

Act as the primary link between the Client Experience and Operations teams to ensure all operational elements align with event requirements.

Oversee event-related logistics to ensure smooth operations and minimize interruptions.

Monitor venue readiness and coordinate responses to operational needs as they arise. Building & Systems Management

Program and manage venue door schedules in alignment with weekly event requirements.

Maintain building comfort by monitoring and adjusting heating, cooling, lighting, and cleanliness systems as needed.

Communicate any facility-related issues promptly to ensure timely resolution.

Assist with access control, including unlocking/locking the facility for clients, vendors, and

staff as required.

Security & Asset Protection

Support the organization and coordination of security personnel and asset protection measures for events.

Collaborate with internal teams and third-party providers to ensure a safe and secure

environment.

Communication & Collaboration

Communicate effectively with both Client Experience and Operations teams to identify and resolve issues that may impact client satisfaction.

Provide timely updates and recommendations to enhance efficiency and improve overall event outcomes.

Maintain accurate records, documentation, and reports as needed.

Exceptional client communication and professionalism is required. Qualifications & Skills

Strong interpersonal and communication skills with the ability to collaborate across departments.

Excellent problem-solving abilities and attention to detail.

Proficiency with Microsoft Office Suite and familiarity with EventPro or similar event management systems (considered an asset).

Experience in event coordination, facility management, or hospitality operations preferred.

Ability to work flexible hours, including evenings and weekends, based on event schedules.

A proactive, service-driven mindset with a commitment to excellence in client experience.
