As our organization grows, we are investing heavily in systems, automation, and financial discipline—and we are looking for an organized, proactive Office Administrator to support our Finance team and overall office operations.

Position Summary

The Office Administrator will report directly to the Financial Controller and work closely with our Finance Specialist (AP, AR, Payroll). This is a critical in-office role supporting day-to-day finance administration, bookkeeping support, document management, reporting, and office coordination.

This position is ideal for someone who is highly organized, comfortable with numbers and systems, enjoys improving processes, and takes pride in keeping an office running efficiently and professionally.

Key Responsibilities

Finance & Administrative Support

  • Support the Finance team with basic bookkeeping and administrative accounting tasks
  • Process credit card payments and ensure accurate documentation
  • Enter and maintain financial records in Microsoft Dynamics 365 Business Central
  • Assist with job and task documentation in Wrike
  • Support financial reporting, analysis, and data preparation
  • Assist with Power BI reporting and dashboard maintenance
  • Help drive paperless, organized, and automated workflows

Office Operations & Organization

  • Manage filing, scanning, and digital document organization
  • Maintain office supplies, stationery, and administrative inventory
  • Handle incoming and outgoing mail, courier services (Purolator, etc.), and postal coordination
  • Answer and direct incoming phone calls professionally
  • Support internal and external communications as required

Coordination & Support

  • Assist with interdepartmental coordination and information flow
  • Support the Financial Controller and leadership team with scheduling, follow-ups, and administrative needs
  • Ensure consistent documentation and compliance with internal processes

Qualifications & Experience

  • 1+ years experience in an office administration, accounting admin, or finance support role
  • Comfortable working with financial data and bookkeeping fundamentals
  • Experience with ERP systems (Business Central preferred) and project management tools (Wrike an asset)
  • Strong organizational skills with exceptional attention to detail
  • Proficiency with Microsoft Excel and Office tools
  • Experience with Power BI or reporting tools is an asset
  • Clear, professional written and verbal communication skills
  • Ability to work full-time, in-office
