Medical Office Administrator – Calgary

Hours: part-time - 11am-5pm Monday – Friday – 30 per week (additional vacation coverage may be required)

Southland Sport Medicine is seeking a Medical Office Administrator (MOA) to join our interdisciplinary team in Calgary, AB. Our MOAs are essential to smooth clinic operations — providing compassionate administrative support to patients, physicians, and allied health professionals.

This is a permanent, 30 hours/week (11am-5 PM, Monday to Friday) ideal for someone who is organized, professional, and comfortable using electronic medical records (EMR), particularly Telus CHR

Our MOAs are an important part of our team who provide outstanding administrative support to patients, co-workers and physicians. They assist an interdisciplinary team with office maintenance and cleanliness. This is achieved by efficiently providing administrative support and coordinating clinic activity with friendly, enthusiastic and professional service to all patients and team members. They ensure the efficient, professional and organized operation of the clinic.

Job description:

· Contributes to optimal patient care through friendly, enthusiastic, and professional service.

· Answer telephone calls, greet patients and visitors upon arrival, and provide excellent customer service.

· Coordinate a detailed and accurate intake of information on the patient's first visit to the clinic.

· Register new patients in line with acceptable standards of the clinic; support patients in filling medical forms at the clinic to avoid errors and inaccurate information.

· Using electronic medical record files and coordinating the scheduling of future appointments for patients with all providers as directed.

· Ensuring optimal patient care by suggesting additional services or products as indicated, and in the patient's best interest.

· Collect payment at the time of service and follow up on outstanding payments.

· Complete accurate clinic billing and follow up on accounts receivable as required.

· Other duties and administrative tasks as assigned by the physician.

· Provide exceptional front-desk and patient service; greet visitors and answer phones professionally.

· Link and triage incoming documents in the CHR system.

· Manage Medavie Blue Cross claims (Military, Refugee, Veterans Affairs), AHS reconciliations, and private insurance billing.

· Process chart copy requests, prepare invoices, and maintain confidentiality of medical information.

· Schedule and modify patient and physician appointments within Telus CHR.

· Coordinate appointment reminder notifications and voicemail messages.

· Support inventory management by liaising with the supply lead to ensure stock levels.

· Complete quarterly billing checks to confirm all visits are signed and submitted.

· Assist with new staff CHR setup and administrative onboarding.

· Maintain clinic cleanliness and professionalism.

Required skills:

· Excellent communication and interpersonal skills to maintain effective rapport with patients and staff members.

· Strong organization, time management, and attention to detail.

· Sound judgment and problem-solving ability in a fast-paced setting.

· Experience with Telus CHR, Medeo, or similar EMR systems preferred.

· Familiarity with AHS billing, Medavie claims, or private insurance submissions is an asset.

· Self-directed, adaptable, and calm under pressure.

· Prior Medical Office Assistant / Medical Administrator experience preferred

· Ability to investigate, understand and resolve issues that arise from billing, collections, and multiple funding sources.

· Remain "cool, calm and collected" in high pressure situations.

· Able to adapt to change with clinic operations to continuously learn and strive for improved patient care.

· Self-starter with an ability to work independently and collaboratively in a team environment.

Job Type: Part-time
