Role Description
We are seeking a highly organized and detail-oriented Project Coordinator to join our team. This role is essential for maintaining the smooth operation of our projects, with a strong focus on exceptional organizational and coordination skills. This is a hybrid role located in Calgary, with the expectation of on-site presence at active project sites approximately one day per week and remote support for projects in other municipalities. The Project Coordinator will be responsible for supporting the development team with day-to-day tasks such as project management, communications with stakeholders, coordinating schedules, tracking project milestones and deadlines, conducting market research, and preparing reports. The role requires collaboration with various departments and external partners to ensure projects are completed efficiently and within scope.
Key Responsibilities:
- Organizational Excellence: Maintain highly organized project files, documentation, and digital assets.
- Coordination & Communication: Facilitate effective communication between project stakeholders and team members, ensuring all parties are aligned.
- Timeline Management: Assist Project Managers in tracking, monitoring, and updating project timelines and schedules to ensure deadlines are met.
- Administrative Support: Manage administrative paperwork, expense reports, and other clerical tasks.
- Data Management: Utilize Microsoft Excel proficiently for data entry, tracking, reporting, and creating basic spreadsheets.
- Meeting Management: Set clear agendas and accurately take and distribute detailed meeting notes with action items, owners, and timeframes.
- Task Management: Organize, update, and track team to-do lists and action items in and other platforms.
- Problem Solving: Engage in minor project problem-solving and issue resolution, escalating major issues as necessary.
Qualifications:
- Proven experience in a role requiring significant organizational, coordination, and administrative skills.
- Strong project management and organizational skills; ability to track project milestones and deadlines
- Excellent written and verbal communication skills for stakeholder engagement and report preparation
- Proficiency in conducting market research and interpreting data
- Ability to work collaboratively with different departments and external partners
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Proficiency in or equivalent project management software preferred.
- Knowledge and experience with sustainable practices and ESG principles are a plus
- Degree or coursework in Real Estate, Urban Planning, Business, or a related field
