Job Summary

We are seeking a highly organized and professional Medical Office Assistant to join our healthcare team. The ideal candidate will provide exceptional administrative support, ensuring the smooth operation of the medical clinic. This role involves managing front desk duties, coordinating patient appointments, and supporting various office functions with efficiency and professionalism. The Medical Office Assistant will play a vital role in maintaining a welcoming environment for patients and staff alike, utilizing strong communication and organizational skills to facilitate daily operations.

Responsibilities

  • Greet patients and visitors with excellent phone etiquette and a friendly demeanor
  • Manage multi-line phone systems, scheduling appointments, and responding to patient inquiries
  • Maintain accurate filing systems for patient records, billing, and administrative documents
  • Assist with clerical tasks including data entry, record keeping, and document preparation
  • Support human resources functions such as onboarding new staff and maintaining employee records
  • Handle bookkeeping tasks using QuickBooks, including invoicing and expense tracking
  • Oversee vendor management and coordinate supplies procurement
  • Manage payroll processing and assist with budgeting activities as needed
  • Supervise or collaborate with team members to ensure efficient office workflow
  • Provide training and development support to new staff or interns when applicable

Qualifications

  • Proven office experience, preferably in a healthcare setting or medical office environment
  • Strong communication skills with professional phone etiquette
  • Excellent Multitasker with organizational skills and high attention to detail
  • Experience with clerical tasks such as filing, data entry, and record management
  • Familiarity with QuickBooks or similar accounting software is preferred
  • Knowledge of human resources procedures, payroll processing, and vendor management is a plus
  • Supervising or team management experience is advantageous
  • Ability to handle multi-line phone systems efficiently and professionally
  • Demonstrated ability to prioritize tasks in a fast-paced environment
  • Training & development experience is beneficial for supporting staff growth

Job Type: Full-time

Pay: $18.00-$24.00 per hour

Expected hours: 30 – 35 per week
