Full time term position.

We are seeking a dedicated and organized Appointment Coordinator to join our team . The ideal candidate will play a crucial role in managing and scheduling appointments, ensuring a seamless experience for clients and staff alike. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Duties

  • Schedule and confirm appointments for clients, ensuring optimal use of time and resources.
  • Maintain accurate records of appointments, cancellations, and rescheduling requests.
  • Communicate effectively with clients to understand their needs and provide necessary information.
  • Coordinate with team members to ensure all appointments are properly managed and followed up on.
  • Handle inquiries via phone, email, or in-person with professionalism and courtesy.
  • Assist in maintaining an organized appointment calendar and office environment.
  • Provide administrative support as needed to enhance overall office efficiency.

Skills

  • Strong verbal and written communication skills to interact effectively with clients and team members.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in using scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
  • Attention to detail to ensure accuracy in scheduling and record-keeping.
  • Ability to work independently as well as collaboratively within a team setting.
  • Problem-solving skills to address scheduling conflicts or client inquiries efficiently.
  • Previous experience in a customer service or administrative role is preferred but not required.
