Job Title: Shipping & Logistics Coordinator

Position Overview:

We are seeking a highly organized Shipping/Logistics Coordinator to support our merchandising and touring operations. This role is responsible for managing all shipments of finished goods across our network within our proprietary management software, preparing and booking shipments with our carriers, communicating all shipment-related information to internal team members and external partners, and supporting tour-related logistics on behalf of our clients. You will work closely with internal teams (Production, Touring, E-Commerce and Warehouse), external logistics partners, and clients to ensure merchandise moves accurately, efficiently, cost-effectively, and most-importantly on schedule.

This full-time position offers hands-on exposure to the heart of our operations and the opportunity to become highly proficient in our proprietary management system. The ideal candidate thrives in a fast-paced environment, is highly detail-oriented, and can juggle multiple priorities under tight deadlines.

Responsibilities:

- Track all inbound and outbound shipments and proactively resolve delivery issues, delays, or exceptions

- Communicate with clients and receivers to keep them informed of shipment contents by sending Packing Lists at the appropriate time

- Communicate with clients and receivers to keep them informed of each shipment's progress (especially if there are delays) up to the point of delivery and reception

- Coordinate dispatch and reception of shipments in our proprietary management system

- Maintain accurate inventory in our internal inventory system accounting for incoming and outgoing shipments

- Document errors related to shipped and received orders

- Select appropriate shipping methods and service levels based on client requirements for cost, lead time, and delivery constraints

- Obtain quotes and approve rates from freight providers to book shipments

- Prepare and maintain all necessary documentation for outgoing shipments, including packing lists, commercial invoices, bills of lading, and customs documents

- Ensure Commercial Invoices are sent to external customs brokers in a timely manner to enable smooth customs clearance of international shipments

- Ensure compliance with CUSMA requirements, including vendor CUSMA certificates of origin, certificates sent to customers or brokers, and auditing of incoming customs documentation and border transactions

- Manage relationships with freight brokers, carriers, delivery companies, and other logistics vendors

- Communicate with UPS customer service representatives for any shipment delays and/or billing issues

- Review UPS invoices and update costs to our internal system for invoicing purposes

- Investigate rate discrepancies, filing claims in case of damaged or lost cargo

- Support continuous improvement initiatives within the Shipping / Logistics department

Skills:

- Excellent communicator with proficiency in English, both verbal and written

- Highly organized and adept at balancing multiple projects and requests from various departments

- Able to handle a fast-paced, and sometimes unpredictable, workflow

- Able to effectively work under very tight deadlines, with a sense of urgency as it relates to on-time delivery of our shipments

- Very strong listening skills and can retain information accurately

- Ability to collaborate and work well with team members

- Resourceful and proactive in addressing issues before they become problems

- Intermediate Proficiency in Microsoft Office (especially Excel) and Google Workspace

- Experience using UPS Worldship or similar shipping tools

- While not essential, experience in music or live event merchandise is a bonus

Qualifications:

- Bachelor's degree, or relevant work experience (preferred).

Pay Range: $55k - $62k annually, determined based on level of experience

Work Location: In Person at our Montreal office

Work Schedule: Monday - Friday
