About the Role:

We are seeking an organized and proactive Administrative Assistant to manage and streamline various administrative and operational functions crucial to our team. This role will schedule and track compliance programs, manage employee-related orders, handle payroll processing, update workload planning tools, assist with meetings, and lead event planning. Your efficiency in these processes will ensure our operations run smoothly and effectively.

Key Responsibilities:

  • Compliance and Training Coordination: Schedule, track, and coordinate all mandatory EH&S compliance programs, technical training, and safety observations, ensuring 100% completion by employees within timeline targets.
  • Payroll and Order Management: Process weekly payroll and adjust Workday time entries as necessary. Manage employee uniform and Personal Protective Equipment orders, tracking eligibility, managing returns, and adhering to budget allocations.
  • Administrative Support: Maintain updates for operational workload planning tools and on-call schedules. Provide meeting support, monitor action items, and ensure timely follow-ups. Handle regional expenditure coding and input invoices in SAP/Markview.
  • Technical and Logistical Support: Facilitate Workday queries, IT requests, and office supply management. Prepare reports on training and manage systems communications, including email distribution lists and emergency contacts.
  • Facility and Event Coordination: Act as the primary contact for third-party facility access and coordinate repairs. Assist with employee training and access requests related to company systems. Lead both in-person and virtual event planning.
  • Committee and Correspondence Involvement: Engage in various internal committees, support team initiatives, manage correspondence, filing, and perform other administrative duties as directed.

Qualifications:

  • Strong organizational and multitasking skills.
  • Experience with payroll processing and administrative coordination.
  • Proficient in using software like Workday, SAP/Markview, and Learning Management Systems.
  • Excellent communication and interpersonal skills.
  • Adept at managing budgets and keeping detailed records.
  • Proven ability to plan and execute events effectively.
