We are seeking a highly organized, personable, and motivated Office Administrator & Social Media Coordinator to support office operations, client communication, and brand engagement.

The Role

This is a public-facing, office-based role requiring someone who is exceptionally strong on the phone, highly organized, and confident balancing administrative responsibilities with social media execution.

You will often be the first point of contact for grieving clients. The ability to connect personally, build trust, and guide conversations toward booking services—while maintaining compassion—is essential.

Key ResponsibilitiesClient Communication & Sales

  • Answer multi-line phones with warmth, empathy, and professionalism
  • Build rapport quickly with clients and guide conversations toward closing bookings
  • Confidently explain services and address concerns
  • Respond to inquiries by phone and email
  • Coordinate bookings with clinics, hospitals, and partners

Administrative & Office Operations

  • Maintain exceptionally organized digital and physical filing systems
  • Accurately manage records, documentation, and scheduling
  • Multitask efficiently in a fast-paced office environment
  • Support vendor coordination and general office administration
  • Assist with front desk duties and daily operations
  • Use QuickBooks or equivalent accounting software confidently

Social Media & Content Management

  • Develop, implement, and manage social media strategies across platforms
  • Create compelling posts, images, videos, and short-form campaigns
  • Maintain content calendars and coordinate messaging across departments
  • Monitor and respond to social media engagement professionally
  • Review performance metrics and suggest improvements

Technology & Systems

  • Confidently implement new systems and software
  • Identify opportunities to improve efficiency through technology

Required Qualifications

  • Proven experience in sales, with measurable results
  • Strong phone-based sales and relationship-building skills
  • Ability to connect personally while maintaining professionalism
  • Previous office administration or corporate support experience
  • Excellent organizational, filing, and multitasking skills
  • Fast learner with a strong work ethic
  • QuickBooks or equivalent accounting software experience
  • Strong social media content and posting experience
  • Tech-savvy and adaptable

Sales skills will be assessed as part of the interview process.Additional Requirements

  • Must have a reliable personal vehicle (rural location with no public transportation)
  • Ability to work on-site consistently
  • Corporate background is a strong asset
  • Flexibility to take on additional hours when required
  • Must speak clear English and be able to read and write English fluently

Hiring Process

Our hiring process consists of two steps:

  • Initial phone interview to assess communication skills and fit
  • In-person interview for qualified candidates

Selected candidates may be asked to complete a brief skills assessment.

Hours, Pay & Growth

  • Part-time: approximately 25 hours per week, Monday–Friday
  • Flexibility for extra hours during busy periods
  • $25–27 per hour, based on experience
