Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role offers an excellent opportunity for individuals with strong office management skills, clerical experience, and a customer-focused attitude. The ideal candidate will support daily operations, manage correspondence, and ensure the smooth functioning of our office environment. Bilingual abilities and proficiency in various office software are highly valued to enhance communication and efficiency across departments.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
  • Operate multi-line phone systems and direct calls appropriately
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives
  • Handle bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management activities such as supply ordering and facility organization
  • Provide customer service support by responding to client inquiries via phone or email
  • Assist with personal assistant tasks as needed, including travel arrangements and correspondence management

Skills

  • Proven experience with office management, clerical duties, and administrative support
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Typing speed and accuracy for efficient data entry and document processing
  • Knowledge of QuickBooks for bookkeeping purposes is a plus
  • Bilingual capabilities to serve diverse clients and staff effectively
  • Exceptional customer service skills with professional phone etiquette
  • Experience in medical or dental reception is advantageous but not required
  • Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
  • Strong proofreading skills to ensure accuracy of documents and communications
