Production Coordinator

Reports To: Production Manager

Position Overview

The Production Coordinator supports the day-to-day planning, organization, and administrative functions of the production department. Acting as a key link between the production floor, operations, and sales teams, this role ensures that orders are accurately processed, scheduled, tracked, and communicated across departments.This is a collaborative, team-based position — working alongside operators and other production staff to help keep workflows running smoothly, on time, and in alignment with quality and delivery targets.

Key Responsibilities
1. Order Processing & Documentation

1.1. Retrieve and validate production orders from the ERP system.1.2. Enter validated orders into the production scheduling and tracking tools and publish updates to the production dashboard/job list.1.3. Generate and distribute all required documentation, including labels, side sheets, packaging instructions, and packing lists.1.4. Create and manage part numbers (generate part #s, maintain libraries, initiate ERP part creation).1.5. Provide shipment weights and dimensions to operations for logistics planning.1.6. Support the integration of new ERP and automation tools to enhance operational efficiency.

2. Scheduling & Coordination

2.1. Support daily and weekly production scheduling in coordination with the Director of Production and operations leads.2.2. Communicate lead times, order status, and logistical details with operations and sales teams.2.3. Track and update the color match schedule, including sample tracking, approvals, and status progression.

3. Samples & Custom Orders

3.1. Coordinate sample requests, approval forms, and execution in collaboration with technical and design teams3.2. Track custom sample production, packaging, and shipping to ensure on-time delivery and customer satisfaction.

4. Inventory & Reporting

4.1. Prepare stock status reports and monitor inventory levels for raw materials and finished goods.4.2. Support organization, sorting, and positioning of inventory to maintain efficiency and visibility.4.3. Prepare supplier orders, track lead times, and receive delivered shipments into inventory

5. Customer & Quality Support

5.1. Follow up on customer claims, coordinate with relevant departments to resolve issues, and document actions taken.5.2. Maintain clear communication with internal teams to ensure customer needs are met promptly and accurately.

Qualifications & Competencies

· 2+ years of experience in production, operations, or administrative coordination role (manufacturing environment preferred).· Proficiency with ERP systems (Epicor experience an asset).· Strong organizational and multitasking skills with keen attention to detail.· Excellent written and verbal communication.· Strong competence with Microsoft Office Suite (Excel, Outlook, Word).· Collaborative, hands-on team player with a proactive approach to problem-solving.· Strong team collaborator with ability to deliver results· Effective communicator· Diligent, punctual, and reliable· Ability to work independently and unsupervised· Ability to work under pressure with deadlines

Success Indicators / Key Outcomes

· Orders are processed accurately and on schedule.· Production dashboard and schedules are consistently current.· Cross-departmental communication is clear and timely.· Inventory data and sample tracking remain organized and up to date.· Customer claims and special requests are handled promptly and professionally.
