The ideal candidate will exhibit high standards, excellent communication skills, and a strong ability to take initiative. You will play a key role in managing daily administrative and automation workflows — handling schedules, coordinating operations, and developing automated tools using
Excel VBA
and
WordPress Manager automations
to streamline company processes.

A strong ability to take charge, manage multiple priorities, and meet tight deadlines will ensure your success in this multi-faceted role.

Responsibilities

  • Handle and coordinate active calendars, including scheduling and confirming meetings.
  • Ensure file organization and documentation based on office protocols.
  • Create and maintain
    Excel-based automation systems
    using
    VBA (Visual Basic for Applications)
    to improve reporting, data entry, and tracking efficiency.
  • Develop and manage
    WordPress (WP) Manager automations
    for task scheduling, updates, and data synchronization.
  • Analyze workflow processes and identify automation opportunities.
  • Provide ad-hoc administrative and operational support as needed.
  • Collaborate with the operations and technical teams to maintain smooth system functionality.

Qualifications

  • Bachelor's degree or equivalent experience in Business Administration, Computer Science, or a related field.
  • Strong proficiency in
    Microsoft Office suite
    , particularly
    Excel and VBA scripting
    .
  • Basic understanding of
    WordPress dashboard and plugin automation tools
    .
  • Strong interpersonal, customer service, and communication skills.
  • Excellent multitasking, problem-solving, and time-management abilities.
  • Proven ability to meet tight deadlines and handle sensitive information confidentially.

Bonus Skills (Preferred)

  • Experience integrating Excel automations with Google Sheets or APIs.
  • Familiarity with CRM platforms or project management tools (e.g., Asana, ClickUp, Notion).
  • Understanding of HTML, PHP, or basic WordPress backend management.
