Position Overview

We are seeking a friendly, organized, and tech-savvy Receptionist & Administrative Assistant to join our team. This role is perfect for someone who enjoys working in a fast-paced, innovative environment and can handle multiple responsibilities with attention to detail.

The successful candidate will manage front-office operations, assist with shipments and lab orders, support communication between clients and our technical teams, and work directly with our Implant Genius software to help manage orders, data entry, and case coordination.

Key Responsibilities

Reception & Communication

  • Greet and assist visitors, clients, and delivery personnel in a professional and welcoming manner.
  • Answer incoming calls, emails, and messages promptly and direct inquiries to the appropriate team members.
  • Manage company communication channels using Google Workspace and internal tools.
  • Schedule meetings, coordinate calls, and assist in maintaining calendars for the management team.

Administrative Support

  • Maintain organized digital and physical filing systems for case submissions, client records, and invoices.
  • Use Implant Genius software for order tracking, case updates, and internal coordination.
  • Support order entry, shipping documentation, and follow-up on shipments of prostheses, guides, and materials.
  • Prepare reports, data sheets, and presentations using Excel and Google tools.
  • Manage office supplies, shipping accounts, and assist with general office coordination.

Operations & Coordination

  • Collaborate closely with the lab operations team and AI design department to ensure cases are processed accurately and on time.
  • Verify details of incoming and outgoing shipments, track deliveries, and assist with courier arrangements.
  • Support the day-to-day operations to ensure smooth coordination between the production, technical, and administrative teams.
  • Ensure high-quality communication and timely updates for clients and internal staff.
  • Qualifications
    2+ year of experience in a receptionist, administrative, or customer service role (experience in the dental or healthcare industry preferred).
  • Excellent written and verbal communication skills.
  • Strong computer skills, including Google Workspace (Docs, Sheets, Gmail, Drive).
  • Comfortable working with digital tools and learning new software systems such as Implant Genius.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Positive, professional attitude and willingness to assist across departments as needed.
  • Preferred Skills
    Familiarity with dental terminology or lab workflows is an asset.
  • Experience with shipment management tools (FedEx, UPS, or Canada Post online systems).
  • Ability to manage small office logistics efficiently and support operational priorities.
  • Interest in technology, innovation, and learning AI-driven dental systems.
