Office Administrator (2-Year Contract, Possible Extension)

Location: Guelph, ON | Type: Full-Time hours/week), 2-Year Contract | Start: ASAP

About the Role

We're seeking a highly organized and proactive Office Administrator to keep our office running smoothly. You'll manage day-to-day admin tasks and help coordinate front-desk operations. This is a 2-year contractual role with the opportunity for extension based on performance and business needs.

What You'll Do

  • Oversee daily office operations to ensure an efficient workflow and a tidy, well-organized environment.
  • Run reception (phones, email, visitors); handle inquiries and requests promptly using professional phone/email etiquette.
  • Prepare estimates/quotes for services and send accurate documentation and confirmations.
  • Maintain filing systems & spreadsheets (digital and physical); keep records up-to-date and audit-ready.
  • Coordinate billing & payments: process deposits/balances, reconcile with crews, and resolve billing questions.

What You Bring

  • Proven experience in an administrative or office coordination role (service, trades, logistics, or similar is an asset).
  • Excellent communication (written and verbal) and a professional, friendly phone manner.
  • Strong organization & prioritization skills; comfortable multitasking in a fast-paced environment.
  • Tech-savvy: proficient with Microsoft Office (or Google Workspace) and comfortable learning other office/CRM tools.
  • Able to work independently and collaboratively.
  • Experience supervising staff or directing front-desk workloads is preferred (not mandatory).
  • Familiarity with HR processes and vendor management is a plus.

Contract, Schedule & Compensation

  • Term: 2-year contract with potential extension.
  • Schedule: Monday–Friday daytime, with occasional flexibility during peak periods.
  • Compensation: $18-21/hr + vacation/statutory entitlements per Ontario ESA and health benefits.
