Front Desk Manager/ Receptionist

Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while efficiently managing administrative tasks. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office software. Experience in medical or dental office settings is a plus, but not mandatory. The Front Desk Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Answer multi-line phone systems promptly and professionally, directing calls as needed
- Manage appointment scheduling using Jane software and coordinate with staff
- Handle data entry tasks accurately using Excel Spreadsheets
- Maintain organized filing systems for documents, records, and correspondence
- Assist with administrative duties such as proofreading, copying, and mailing
- Support bookkeeping activities including basic bookkeeping and record keeping
- Ensure the reception area remains tidy and welcoming at all times
- Assisting with laundry and cleaning
- Provide excellent customer support by addressing inquiries and resolving issues efficiently
- Manage incoming and outgoing correspondence via email and phone
- Managing marketing software
Skills
- Proficiency with Microsoft Office Suite (Word, Excel) and Google Workspace tools
- Strong computer skills with the ability to learn new software quickly
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with keen attention to detail
- Effective phone etiquette and communication skills for front desk interactions
- Clerical experience in an office environment or medical/dental setting is advantageous
- Data entry accuracy and fast typing skills (minimum 50 WPM)
- Ability to multitask efficiently in a fast-paced environment
- Knowledge of filing systems and administrative procedures
- Customer service orientation with a friendly demeanor
- Experience with multi-line phone systems is preferred
- Medical or dental office experience is a plus but not required
Job Types: Full-time, Part-time, Permanent
Pay: $18.00-$24.00 per hour
Expected hours: 18 – 40 per week
