Laddi Foods Corporation is seeking a detail-oriented and organized Administrative Assistant to support daily office, logistics, and inventory operations in a fast-paced food distribution environment. The ideal candidate will have strong clerical and communication skills, along with proficiency in software such as QuickBooks, Microsoft Excel, and Microsoft Word. This role involves managing administrative tasks, supporting customer service needs, and coordinating with warehouse and logistics teams to ensure accurate order processing and smooth office workflows.
Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone calls.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks.
- Handle filing, document organization, and general clerical tasks.
- Provide customer support through clear, professional communication.
- Assist with bookkeeping, invoicing, and basic financial recordkeeping.
- Maintain organized and confidential files.
- Generate and process customer orders and create accurate invoices.
- Update and maintain inventory records to ensure stock accuracy.
- Coordinate with warehouse staff on picking, packing, and shipping.
- Monitor logistics and dispatch schedules to support on-time deliveries.
- Keep detailed records of transactions and inventory movements.
- Maintain a clean and organized work environment.
- Perform additional administrative and clerical duties as assigned.
Experience & Qualifications
- Prior administrative experience preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Experience with QuickBooks or similar bookkeeping software is an asset.
- Strong typing, data entry, and proofreading skills with high attention to detail.
- Excellent organizational and multitasking abilities.
- Customer service or front-desk experience.
- Familiarity with multi-line phone systems and professional phone etiquette.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively with logistics and warehouse teams.
- Experience with inventory or logistics software is an asset.
- Experience in food distribution is helpful but not required.
