This position is responsible for all payment processing of invoices, coding of invoices, and payments in the Oracle Financial System for our 5 programs (Social Supports, AccessAbility Support, Child Care Subsidy, At Home Caregiver Benefit, and Seniors Independence Programs). The incumbent will provide back up support to reception and the Registry Clerk.

Duties will include but are not limited to:

  • Process payments of all invoices submitted to Social Programs;
  • Prepare all Social Supports and Accessibility Supports invoices by entering the correct amounts and codes into ISM (Integrated Services Management) and Oracle for payment;
  • Maintain a high level of accountability for decision making with specific, accurate file documentation;
  • Review the government emails lines daily and sort through the documentation;
  • Print off documents for the regional office, and ensure they are distributed to the appropriate staff;
  • Audit the documentation and calculations prepared by all Support Coordinators within 4 separate programs;
  • Review/verify all files ensuring all documents are submitted, verified, and signed accordingly;
  • Ensure compliance of the proper program policies and procedures, which would require keeping up with all changes and updates;
  • Review a daily Benefit Change Report to ensure calculations are correct and documentation has been submitted;
  • Audit client income/expense calculations as entered by Support Coordinators to ensure accuracy;
  • Review applications and payments of funerals and indigent funerals; Liaise with funeral homes;
  • Liaise with Service Canada and complete paperwork necessary to obtain Canada Pension Death Benefit on behalf of families;
  • Maintain client accounts for the Social Programs office fuel and medical supply tenders;
  • Receive monies from clients, issuing receipts, completing cash deposits, maintaining and disbursing client payments held by case coordinators;
  • Other duties as required.

Minimum Qualifications:

  • Applicants must have Grade 12 and successful completion of a recognized post-secondary diploma in business or office studies and experience performing complex clerical duties, such as auditing documents for accuracy and completeness and resolving calculation discrepancies is required.
  • Computer training and experience with a variety of software programs (word processing, ISM, spreadsheets, financial information systems)
  • Demonstrated equivalencies will be considered.
  • Strong time management, organizational, and problem-solving skills. Good communication skills.
  • The ability to work independently and as part of a team.
  • A good previous work and attendance record; the successful applicant must provide a satisfactory criminal record check and vulnerable sector check prior to beginning employment.

Other Qualifications:

  • Work experience with Social Supports, AccessAbility Support, Child Care Subsidy, At Home Caregiver Benefit, and Seniors Independence Programs would be considered an asset.
  • Additional relevant education and experience would be considered an asset.
