The main purpose of this position is to provide administrative support to professional and technical staff of the Highway Safety Division within the Department of Transportation and Infrastructure. Primarily, this position will promote a positive image for Government by providing knowledgeable information to clients and staff by telephone, in-person, by mail or e-mail. Must have working knowledge of Acts and Regulations relevant to highway safety in order to inform clients about Safe Driving Programs for the safety of Island highways.
Duties will include but are not limited to:
- Maintain a high degree of confidentiality - information related to correspondence, communicating and receiving information.
- Deal with complaints from the public either by phone or in person. The complaints range from complaints about the Inspection Program, Driver Training, and Driver Testing. A great deal of tact and diplomacy must be used when dealing with irate customers. Often customers are very angry and upset.
- Scrutinize documents applicants must provide in order to complete their written and driving tests.
- Ensure that registration and insurance documents are valid and in order, consent form is signed by both parents when required, and that the appropriate courses have been completed and waiting periods have been adhered to.
- Conduct written examinations for driver applicants when the Driver Examiners are absent or scheduled with other duties.
- Complete certification for Class 7 licenses, conduct IRE on all out-of-province applicants, scrutinize and verify Immigration documents.
- Help in the development of materials for the promotion of safety and placement on the government website for public access.
- Book appointments over the phone or in person for written and driving exams and collect fee by credit card. Explain all the requirements and documentation they will require to complete tests. Ensure the client has fulfilled the required waiting period, has taken the required courses and is eligible to be tested.
- Maintain an up-to-date administrative filing system.
- Arrange meetings and prepare agendas.
- Compose and prepare correspondence for Senior Managers.
- Distribute materials and pertinent information regarding Highway Safety Programs and Driver Safety to all PEI Access Centres.
- Process Motor Vehicle Inspection Station and mechanic applications. Scrutinize applications, check mechanics' driving records as well as trade qualifications. Ensure proper documentation is completed, and that a site inspection as well as equipment check is completed.
- Compose and prepare letters of warning or suspension to Motor Vehicle Inspection Stations and mechanics who have been found guilty of not conducting Motor Vehicle Inspections according to the guidelines established under the Motor Vehicle Inspection Regulations.
- Provide training in areas of Highway Safety, knowledge of Acts and Regulations regarding Motor Vehicle Inspection, Driver Testing, Driver Education, Classified Driver License System, and software programs, such as Microsoft outlook.
- Prepare payroll for Safety Program Instructors and process their mileage claims.
- Other general office duties as required.
Minimum Qualifications:
- Must have successful completion of Grade 12 or GED (equivalent).
- Must have successfully completed a post-secondary program from a recognized business or office studies program or related field.
- Must have administrative support experience.
- Demonstrated equivalencies will be considered.
- Ability to apply excellent customer service skills and provide quality service to clients.
- Must have considerable experience in a fast-paced work environment and ability to work with minimal supervision demonstrating strong organizational skills.
- Must have strong interpersonal and communication skills and work effectively in a team environment.
- Must have a valid Prince Edward Island Driver's License, Class 5, with good driving record.
- The successful incumbent must provide a current and satisfactory Criminal Records Check, prior to employment.
- Good previous work record and attendance is required.
