The Senior Administrative Assistant provides high-level administrative and coordination support across multiple functions at Marcon, with a primary focus on our Langley-based Construction, Operations, and Corporate Services teams. This role is built for someone who anticipates needs, thrives on precision, and brings calm confidence to busy environments. Collaborative, humble, and proactive, you'll play an essential role in helping senior leaders and teams perform at their best.
With strong technology acumen and a knack for creating efficient tracking tools and reporting dashboards, this position helps streamline workflows and keep teams aligned. Acting as a key connector, the Senior Administrative Assistant ensures seamless office operations, cross-departmental coordination, and contributes to the planning and execution of company events. In addition to occasional reception coverage, this role carries senior-level administrative responsibilities and plays a trusted role in supporting Marcon's senior leaders.

About the role:
Leadership & Departmental Support
- Manage calendars and schedules for key leaders, anticipating conflicts and aligning priorities.
- Coordinate divisional and departmental meetings, including scheduling, preparing materials, and ensuring smooth logistics for both in-person and virtual setups.
- Track meeting outcomes and action items, ensuringtimelyfollow-up and clear communication across teams.
- Draft, edit, and prepare correspondence, reports, and presentations with accuracy and professionalism.
- Assistleaders in coordinating initiatives by organizing communications,monitoringprogress, and preparing updates.
- Serve as a point of contact for internal and externalmeetings, creating a professional and welcoming environmentfor all stakeholders.
- Handle sensitive information with professionalism, confidentiality and discretion
Administrative Coordination
- Create, edit, format, and finalize electronic documents, reports, and presentations for functional leaders.
- Maintain and update digital filing systems, contact lists, and distribution groups.
- Create, track, and manage shared spreadsheets, dashboards, and logs to support department operations.
- Coordinate electronic approvals, signatures, and document workflows.
- Support cross-departmental projects by compiling information, preparing summaries, and distributing materials electronically.
- Provide advanced administrative support to departments as needed.
- Identify opportunities to steamline workflows or administrative processes
Back-Up and Coordination Support
Marcon's Office Management team is dedicated to ensuring our workspaces run efficiently and that day-to-day operations flow seamlessly. At times, administrative team members may be called upon to lend support whether to cover absences, assist during peak periods, or contribute to special initiatives. This includes providing professional reception coverage, including welcoming visitors, managing incoming calls, and coordinating mail and courier services. Maintain a consistent, polished, and positive front-of-house experience that reflects Marcon's values and culture.
About You
- Minimum 5 years' administrative experience, with at least 2 years in a senior, coordinator, or leadership-support role.
- Proven ability to coordinate schedules, meetings, and projects for senior leaders and their teams.
- Strongtechnologyproficiency; familiarity with digital tools such as Procoreor SharePoint an asset.
- Excellent written and verbal communication skills with strong attention to detail.
- Highly organized and able to manage multiple competing priorities with accuracy.
- Professional, discreet, and proactive, with sound judgment and the ability to handle sensitive information.
- Collaborative and adaptable, with a positive, solutions-focused approach.

The compensation range for this role is $65,000 to $80,000 annually, depending on the candidate's experience and qualifications.
