Administrative Assistant

Full-Time | Permanent | Primarily In-Person (1–2 Days Remote Possible)

Salary: $48,000 – $73,000 per year

About the Role

We are seeking an experienced, professional Administrative Assistant to support the daily operations of a growing construction company. This role is best suited for someone who is highly organized, systems-oriented, and comfortable supporting an owner who relies on strong administrative structure to stay focused and effective.

This is not an entry-level role. The ideal candidate brings experience, discretion, and confidence, and can manage administrative responsibilities with minimal oversight.

The position is primarily in person, with flexibility for 1–2 work-from-home days per week once fully onboarded and established in the role.

Key Responsibilities

Administrative & Operations Support

  • Manage and track employee and subcontractor timesheets
  • Coordinate schedules, calendars, and meetings
  • Oversee shared inboxes and internal email coordination
  • Maintain organized digital filing systems and documentation

Owner & Business Support

  • Support the owner with organization, follow-ups, and task coordination
  • Help maintain and improve internal systems, templates, and workflows
  • Assist with onboarding documentation and internal administrative processes
  • Ensure consistency, accuracy, and accountability across administrative systems

Client & Team Communication

  • Act as a professional point of contact for clients and internal team members
  • Coordinate client communication, scheduling, and documentation
  • Maintain confidentiality and professionalism at all times

Systems & Technology

  • Work within Google Workspace (Docs, Sheets, Drive, Gmail)
  • Use Smartsheets for tracking, workflows, and operational organization
  • Familiarity and experience working with QuickBooks
  • Follow established systems while identifying opportunities for improvement

Qualifications & Experience

  • 3–5+ years experience in an administrative, office management, or operations support role
  • Strong proficiency with Google Workspace
  • Experience with Smartsheets or similar project/workflow tools
  • Familiarity with QuickBooks
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Professional, reliable, discreet, and self-directed
  • Comfortable managing multiple priorities independently
  • Previous experience in the construction or building industry is considered an asset, but not required

Compensation

Salary: $48,000 – $73,000 per year, commensurate with experience and qualifications.

Final compensation will be based on skills, experience, and overall fit.

Work Location
