The Opportunity
We are seeking a highly organized and detail-driven Administrative Data Entry Specialist to support the management of donor and organizational data in Salesforce and related systems. This role provides administrative support across departments and contributes to smooth daily office operations.
Key Responsibilities
- Enter, update, and maintain accurate donor and organizational data in Salesforce and other internal systems.
- Review and verify information, resolve data discrepancies, and prepare reports or spreadsheets to support analysis and decision-making.
- Process incoming mail, email, and banking deposits, and assist with basic accounting and administrative tasks as needed.
- Respond to phone and email inquiries, provide timely and professional information to internal and external stakeholders, and support general office operations.
- Manage office supply inventory and ensure an organized, well-functioning workspace.
- Train and supervise temporary administrative staff during peak periods.
- Collaborate across departments, support process improvements, and assist with other duties as required to contribute to a positive, efficient team environment.
Qualifications & Skills
- College diploma in Business Administration, Accounting, or a related field
- Minimum 3 years' experience in administrative or customer service roles (non-profit experience an asset).
- At least 1 year of experience supervising, mentoring, or training staff in administrative or data-entry functions.
- Exceptional attention to detail, accuracy, and organization.
- Proficiency in Microsoft Office, including advanced Excel skills.
- Experience using CRM systems such as Salesforce (non-profit experience preferred).
- Ability to handle high-volume data processing while maintaining confidentiality and data integrity.
- Knowledge of basic accounting practices and CRA charitable receipting guidelines is an asset.
- Strong communication and interpersonal skills; ability to work independently or collaboratively.
- Comfortable working in an office environment with regular interaction with service dogs.

- Location: 152 Wilson Street, Oakville (Hybrid role)
- Type: Full Time, Contract (6-months with the possibility of extension).
