Job Summary:

The Durham Convention Centre is seeking an energetic, detail-oriented, and tech-savvy Administrative Assistant to join our growing team. This role is essential to the smooth daily operations of our facility and requires someone who thrives in a fast-paced, guest-focused environment.

About the Role:

The Administrative Assistant will support the Operations Manager and the DCC team with administrative coordination, client communication, event preparation, and general office tasks. We are looking for someone who is dependable, highly organized, and takes pride in delivering exceptional customer service.

Responsibilities:

Manage calendars and schedules for management staff.

Answer and direct phone calls, respond to emails and inquiries.

Prepare and distribute meeting materials.

Assist with event coordination and planning, including booking confirmations and vendor communications.

Prepare reports and presentations as needed.

Order office supplies and maintain inventory.

Greet and assist visitors to the office.

Provide general administrative support as needed.

Provide friendly, professional front-desk and phone support to all clients and visitors

Manage emails, calendars, scheduling, and internal communications

Prepare documents, proposals, presentations, and reports using Word, Excel, PowerPoint, and Canva

Maintain digital and physical filing systems

Support event coordination tasks, including preparing paperwork, menus, signage, and guest documents

Ensure the office area is clean, organized, stocked, and running smoothly

Work collaboratively with the Operations Manager and wider team

Handle confidential information with professionalism and discretion

Qualifications:

* Proven experience as an Administrative Assistant or in a similar role.

* Excellent organizational and time management skills.

* Strong communication and interpersonal skills, both written and verbal.

* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

* Attention to detail and accuracy.

* Ability to work independently and as part of a team.

* Ability to prioritize tasks and meet deadlines.

* Excellent customer service skills.

Preferred Qualifications:

  • Flexible availability. Must be able to work 5 days per week, including Saturdays and Sundays
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, and Canva
  • Quick learner, efficient with MacBook computers, and comfortable navigating new software
  • Exceptional communication and customer service skills
  • Friendly, approachable, and professional demeanor
  • Highly organized with strong attention to detail
  • Ability to work independently and as part of a team
  • Previous administrative or hospitality experience is an asset

Job Type: Full-time

Pay: $17.60-$20.00 per hour

Work Location: In person
