Saskatoon Saskatchewan SKW Canada Clifton Engineering Full time

Clifton, an award-winning engineering and environmental consultancy, that opened its doors in 1978. The goal was simple: provide innovative and pragmatic solutions to help our clients build our communities. Forty years later, we are now one of the largest and most respected independent engineering firms in Western Canada. Clifton is continuing to grow and develop new markets.

At Clifton, you become part of a professional community that thrives on the contributions of junior and seasoned team members alike. Seasoned experts invest heavily in junior members, mentoring them in both the technical and non-technical aspects of their role, helping them to advance their careers. Our new team members bring fresh ideas and contribute to the multiple perspectives from which we view challenges. This promotes the innovation and agility that keeps us thriving.

We value our people and encourage work-life harmony. We offer a compensation package with a competitive salary, a pension plan, health benefits, and one of the most comprehensive employee assistance programs in the industry.

Clifton is currently searching for a motivated Administrative Assistant to join our Saskatoon office. In this office-based role, you'll be responsible for delivering essential administrative support to the local office while also contributing as a valued member of Clifton's broader corporate Administrative Team. The successful candidate will be a strong word processor who is comfortable reviewing, formatting, and editing professional documents, and who takes pride in providing accurate, high-quality administrative support. This role is well suited to a detail-oriented, adaptable professional who enjoys supporting others and understands the important role administration plays in the overall success of the office and organization.

Key Responsibilities

  • Providing accurate, high-quality administrative support, including formatting, editing, and proofreading of technical reports, proposals, and other general correspondence in Microsoft Word, ensuring consistency and adherence to Clifton's branding and document standards.
  • Supporting project managers with various project, document control, and procurement administration, including assisting with subcontractor pre-qualification processes and coordinating complete documentation packages for project and proposal submissions.
  • Providing administrative support for special projects and cross-functional initiatives, as assigned.
  • Assisting with onboarding and offboarding of new staff by coordinating orientations, setting up workstations, and ensuring all required documentation is completed and distributed to the appropriate internal teams.
  • Providing backup support to the administrative team with front desk coverage, office supply inventory management and ordering, and support coordination of vendor services, as required.
  • Performing other duties and special projects as assigned.

Required Qualifications and Experience

  • High school diploma or equivalent (GED) required; completion of a post-secondary diploma or certificate in Office Administration, Business Administration, or a related field is considered an asset.
  • Previous experience in a professional office environment is an asset but not required; we welcome candidates who are eager to learn and grow in an administrative role.
  • Proficiency in Microsoft 365, particularly Word and Outlook, with the ability to accurately format documents and manage emails, calendars, and basic spreadsheets.
  • Experience using Zoom or other virtual meeting platforms is an asset.
  • Strong written and verbal communication skills with a professional, service-oriented approach to internal and external interactions.
  • Exceptional attention to detail with the ability to proofread and format documents for accuracy, consistency, and professionalism.
  • Strong organizational and time-management skills with the ability to prioritize tasks and manage competing deadlines.
  • Demonstrated initiative with the ability to learn new tasks quickly and work effectively both independently and as part of a collaborative team.
  • High level of integrity, professionalism, and discretion when handling confidential information.
  • Willingness to learn new systems, processes, and software.
  • Commitment to safety and to maintaining a safe, respectful work environment.
