Role Description
Proposal Coordination
§
Prepare, edit, and format proposals, bids, and qualification packages
§
Research and evaluate RFPs; manage timelines, submissions, and outcomes
§
Coordinate information from team members and consultants
§
Maintain and update a centralized proposal database and template
Administrative Support
§
Manage calendars, travel, and meeting coordination
§
Monitor and order office supplies and maintain filing systems
§
Record meeting minutes and assist with reports and correspondence
§
Support staff events and professional development initiatives
Reception & Client Service
§
Welcome and greet clients and visitors in a friendly and professional manner
§
Manage calls with professionalism
§
Provide exceptional service to clients and internal teams
§
Support the firm's reputation for quality, integrity, and collaboration
§
Ensure reception and common areas are tidy, organized, and welcoming
§
Implement and uphold company policies and procedures related to reception and customer service
Qualifications
§
Post-secondary education in Administration, Business, Marketing, or Communications (or equivalent experience)
§
2–5 years of experience in administrative or proposal coordination roles
§
Strong skills in MS Office and Adobe InDesign; QuickBooks and Monograph experience is an asset
§
Excellent written, verbal, and organizational abilities
§
Detail-oriented, dependable, and adaptable in a fast-paced environment
§
Experience in the architecture, engineering, or construction industry is considered an asset
