We are seeking a senior-level Executive Business Administrator who goes beyond traditional administrative support — someone who is financially minded, proactive, and invested in helping the business scale efficiently.

This is a trusted, high-impact role working closely with ownership and senior leadership.

Key Responsibilities

Responsibilities include, but are not limited to:

Executive & Business Support

  • Provide high-level administrative support to ownership and senior leadership
  • Manage calendars, scheduling, confidential correspondence, and documentation
  • Prepare reports, contracts, presentations, and business documentation
  • Coordinate real estate files, transaction documents, and property records
  • Liaise with lawyers, accountants, realtors, lenders, tenants, and vendors

Financial & Bookkeeping Support

  • Assist with bookkeeping functions, including expense tracking and reconciliations
  • Support mortgage and refinancing preparation
  • Track office expenses, invoices, and payments
  • Coordinate with external accountants and financial professionals
  • Help maintain organized financial records and documentation

Operations & Growth Support

  • Maintain and improve digital and physical filing systems
  • Support Airbnb listings and light social media marketing initiatives
  • Manage vendor relationships and service coordination
  • Order office supplies and oversee office operations
  • Identify inefficiencies and proactively recommend process improvements
  • Provide after-hours phone assistance as required; evening and weekend availability may be needed
  • Perform other administrative and operational duties as assigned

Qualifications

Preferred but not mandatory:

  • 3–5+ years of experience in executive administration, office management, or business operations
  • Experience or strong familiarity with bookkeeping, accounting support, or financial administration
  • Exceptional organizational and time management skills
  • Strong attention to detail and accuracy
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and reliability
  • Proficiency in Microsoft Office / Google Workspace
  • Experience with QuickBooks, property management software, or similar systems is a strong asset
  • Ability to work independently, take ownership, and manage priorities
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred

Compensation & Benefits

Salary: $65,000 – $80,000 per year (CAD), depending on experience and qualifications
