Reports to: President (with direct support to CEO)

Travel: Must have a valid driver's license and reliable vehicle (local travel between sites, ~15 minutes)

Job Responsibilities:

We're looking for someone who wants to run the operating system around senior leadership, not just manage calendars and emails.

This role supports two senior leaders — the President and CEO — with primary day-to-day focus on the President. The President's role is to drive the company forward through strategy, systems, alignment, and execution. What slows that down is status-checking, follow-ups, and meetings that don't operate at the right level.

Your job is to absorb that friction — to keep leaders focused on high-value work while ensuring decisions stick and nothing quietly falls through the cracks.

This is a high-trust, high-judgment role for someone who genuinely enjoys details, systems, follow-through, and accountability. If you like turning chaos into clarity and making sure things actually get done, this role will suit you well.

What You'll OwnTime & Calendar Management

  • Own and optimize executive calendars (daily, weekly, long-term)
  • Manage meeting requests to ensure leaders are only in the right meetings
  • Decline, shorten, bundle, or redirect meetings that don't align with priorities
  • Protect time for strategic work, thinking, and decision-making
  • Coordinate executive lunches and internal/external meetings

You have the authority to reschedule or decline meetings independently, except for new recurring meetings, multi-executive meetings, or board/bank/major partner engagements.

Information Flow & Executive Support

  • Triage and manage executive email inboxes
  • Respond on behalf of leadership where appropriate
  • Escalate urgent, sensitive, or high-impact matters
  • Ensure leaders have the right context before decisions are required

For decisions requiring executive input, you'll prepare concise briefs that include context, options, trade-offs, and a clear recommendation.

Follow-Through & Execution

  • Attend key meetings and capture decisions, actions, and owners
  • Send post-meeting notes and action items
  • Track commitments and deadlines
  • Follow up proactively with owners
  • Escalate when work repeatedly stalls or patterns indicate deeper issues

Your role is to own the last 20% — the part where good ideas either get finished or quietly die.

Communication & Coordination

  • Triage inbound requests and redirect issues that don't require executive involvement
  • Meet regularly with direct reports to gather updates and unblock issues
  • Support planning and coordination of leadership meetings, internal sessions, and select company events

The Relationship: You're Expected to Push Back

This role requires backbone.

You are expected to speak up when:

  • Calendars drift away from agreed priorities
  • Important commitments stall
  • Tough decisions are being avoided
  • New initiatives threaten to derail existing ones

You should be comfortable saying things like:

  • "This doesn't match the priority you set — do you want to change it?"
  • "This has been deferred twice — do you want to solve it or delegate it?"

If pushing back respectfully on senior leadership makes you uncomfortable, this is not the right role.

What Success Looks Like

  • Executive calendars reflect focus and intention
  • Leaders are rarely surprised by issues or decisions
  • Decisions are made quickly with proper context
  • Action items are tracked, visible, and closed
  • Leadership spends more time moving the needle and less time in admin
