We're seeking a sharp, reliable Operations Assistant to support the Managing Partner of multiple boutique businesses - including a law firm, real estate investment and property management company, and education business. This is an in-office role ideal for someone with experience in legal, real estate, or finance who thrives in a flexible, autonomous work environment.

Key Responsibilities:

  • Prepare and manage documentation across legal, real estate, and financial matters
  • Process invoices, payments, and financial recordkeeping
  • Communicate professionally with clients, vendors, and service providers
  • Organise and maintain digital files via Google Drive
  • Complete and submit online forms and applications
  • Handle correspondence via email and occasional phone calls
  • Support day-to-day operations with minimal supervision
  • Assist with light marketing tasks (social media, flyers)

IDEAL CANDIDATE - EXPERIENCE IN ONE OR MORE OF THE FOLLOWING:

Legal Experience:

  • Law Clerk or Paralegal certificate
  • Document preparation for real estate closings
  • Drafting agreements, demand letters, or legal notices
  • Client communication and file management
  • Experience with Unity or other legal software
  • Understanding of real estate law or business law processes

Real Estate Experience:

  • Real estate sales, brokerage, or administration
  • Processing real estate transactions
  • Property management operations
  • Familiarity with TREBB, REALM, WEBFORMS, or similar platforms
  • Deal coordination and client/tenant communication
  • Experience with Lonewolf or real estate backend systems

Finance Experience:

  • Accounting, bookkeeping, or financial operations
  • Accounts receivable (A/R) and accounts payable (A/P) processing
  • Financial recordkeeping and reconciliation
  • Experience with QuickBooks, Sage, Xero, or similar accounting software
  • Multi-company or family office financial management
  • Invoice processing and payment tracking

  • Strong written and verbal communication
  • Self-motivated and able to work independently
  • Professional and discreet
  • Tech-savvy with Google Workspace (Drive, Gmail, Sheets, Docs)
  • Proficient with Microsoft Excel and Outlook
  • Comfortable learning new software and systems
