Position: Real Estate Law Clerk (Residential + Commercial)
We are seeking an experienced Real Estate Law Clerk to join our team. This role is ideal for a highly organized clerk who can independently manage purchase, sale, and refinance files from opening to reporting, with strong attention to detail, strong client service, and excellent turnaround times. You will work closely with lawyers and staff to keep files moving, anticipate issues early, and deliver clean, reliable work product.
Key Responsibilities
Real estate file management (start to finish)
· Open, organize, and manage residential and commercial real estate files (purchase, sale, refinance, private lending, and related conveyancing) from intake to reporting.
· Review APS/agreements and lender instructions; prepare file checklists; diarize critical dates, requisition deadlines, and closing timelines.
· Maintain precise file records, correspondence, and document control (physical and electronic).
Title and off-title searching / due diligence
· Conduct and review title searches and document retrieval through Teraview; identify and address title issues and prepare requisition letters.
· Complete off-title searches as needed (e.g., tax certificates, zoning/compliance, execution searches, writ searches, utilities, condo status certificates, and other common closing conditions).
· Summarize search results and flag risks/issues for lawyer review early, with proposed solutions and next steps.
Closing, registration, and reporting
· Prepare all closing documentation including: statements of adjustments, requisition letters, direction re title, undertakings, discharges, and closing deliverables.
· Complete electronic registrations (e.g., transfers, charges, discharges, notices, and other Teraview instruments), and coordinate registration logistics and corrections.
· Prepare reporting letters and final reporting packages to clients and lenders, including final accounts, registered documents, and required confirmations.
Trust accounting, undertakings, and risk management
· Assist with accurate handling of closing funds, trust deposits, trust ledgers, and closing payouts in accordance with Law Society requirements and firm procedures.
· Work carefully with undertakings and trust conditions and ensure they are tracked and fulfilled promptly once accepted.
· Support real estate e-registration processes involving Teranet withdrawals for registration fees/LTT (as applicable) and related account procedures.
· Maintain a high risk-awareness mindset (fraud red flags, closing pressure points, clerical accuracy—especially statement of adjustments).
Client service and stakeholder coordination
· Communicate professionally with clients, realtors, lenders, mortgage brokers, opposing counsel, municipalities, and service providers to obtain information, clear conditions, and meet closing deadlines.
· Provide consistent, polished updates and ensure a smooth closing experience for clients.
Qualifications
· Minimum 3+ years experience as a Real Estate Law Clerk (residential and/or commercial) in a law firm setting.
· Strong working knowledge of Ontario conveyancing and the end-to-end real estate closing process, including title/off-title due diligence and requisitions.
· Hands-on proficiency with Teraview (Unity/Closer/e-reg workflows are an asset), and strong competency in Microsoft Office.
· Excellent attention to detail (particularly with numbers, adjustments, closing funds, and registrations) and strong document management habits.
· Strong written and verbal communication skills and a professional, client-service mindset.
· Ability to work independently, manage competing priorities, and perform under tight closing timelines.

We offer a competitive compensation package and commensurate with experience and qualifications.
