Job Overview

We are seeking a detail-oriented and organized Scheduling Coordinator to join our team. The ideal candidate will be responsible for managing appointments, coordinating schedules, and providing exceptional customer service. This role requires strong administrative skills and the ability to work efficiently in a fast-paced environment. The Scheduling Coordinator will play a vital role in ensuring smooth operations amongst our service team.

Responsibilities

  • Generate and manage fair work schedules for a team of service technicians, servicing the greater Ontario area.
  • Politely and clearly communicate with homeowners &/or dealers to confirm appointments and ensure arrival expectations are communicated, via email &/or phone.
  • Collaborate with the Plant Manager to secure additional labor resources as needed and ensure all materials are ready on time.
  • Utilize Microsoft Office to generate field reports for technicians and various other reports for dealers and management.
  • Perform data entry tasks with attention to detail, ensuring all information is up to date.
  • Maintain organized files and records for easy access and retrieval.
  • Actively and effectively participate in regular meetings with upper management &/or other members of the service team.
  • Manage & schedule service vehicle maintenance and repairs as needed/assigned.
  • Collaborate with team members to ensure successful completion of all orders & calls.
  • Support the Service Coordinator as required, ensuring efficient service department operations.

Qualifications

  • Previous office experience is required; experience in Window & Door industry is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace is essential.
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong typing skills with attention to detail for data entry tasks.
  • Proven customer service experience with a focus on client satisfaction.
  • Ability to work independently as well as part of a team in a collaborative environment.
