Job Overview

We are seeking an organized, detail-oriented, and proactive Office Assistant to support the daily administrative operations of our organization. In this role, you will provide essential clerical and operational support to ensure smooth workflow, efficient communication, and a welcoming environment for clients, visitors, and staff. The ideal candidate is reliable, professional, and able to manage multiple tasks while maintaining a high level of accuracy and customer service.

Duties

  • Greet clients, visitors, and staff, ensuring a friendly and professional front-desk experience
  • Answer phone calls, respond to emails, and direct inquiries to appropriate team members
  • Manage scheduling, appointments, and calendar coordination for staff as needed
  • Organize and maintain office files, records, and documentation (digital and hard copy)
  • Assist with data entry, report preparation, and creation of basic documents or forms
  • Support staff with printing, scanning, photocopying, and preparing materials for programs or meetings
  • Maintain inventory of office supplies and place orders when necessary
  • Ensure the office environment is clean, organized, and well-stocked
  • Assist with coordinating meetings, staff events, and training sessions
  • Handle incoming and outgoing mail and deliveries
  • Provide general administrative support to management and program staff as required

Experience & Qualifications

  • Previous experience in an administrative, office assistant, or receptionist role is preferred
  • Strong communication skills with the ability to interact professionally with diverse populations
  • Excellent organizational and time-management skills
  • Ability to work independently and handle multiple tasks in a fast-paced environment
  • Proficiency in basic computer applications (Microsoft Office, email, data entry)
  • Attention to detail and accuracy in completing tasks
  • Friendly, reliable, and customer-service oriented
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • A background check may be required depending on organizational needs

Job Type: Part-time

Pay: $17.00-$18.00 per hour

Expected hours: 20 per week
