Job Description

We are seeking a highly reliable, organized, and professional Secretary / Administrative Assistant & PA to support the business owner by managing both work-related and select personal responsibilities.

This role is ideal for someone who thrives in a fast-paced, owner-led environment, understands discretion, and can confidently handle delegated authority involving staff, vendors, scheduling, documentation, and daily coordination.

The position requires strong communication skills, maturity, and the ability to switch seamlessly between business administration and personal assistance tasks.

Key Responsibilities

Administrative & Office Support

  • Handle daily office administration and documentation
  • Manage emails, phone calls, correspondence, and records
  • Maintain organized digital and physical filing systems
  • Prepare documents, reports, and basic presentations
  • Manage calendars, meetings, reminders, and follow-ups

Staff & Vendor Coordination

  • Coordinate with staff, suppliers, vendors, and service providers
  • Assist in scheduling shifts, meetings, and operational tasks
  • Track follow-ups, confirmations, and basic compliance items
  • Act as a communication bridge between ownership and teams

Personal Assistant Duties

  • Manage select personal scheduling, appointments, and reminders
  • Assist with errands, bookings, and personal coordination as delegated
  • Handle confidential matters with discretion and professionalism
  • Support owner with time management and priority organization

Required Skills & Qualifications

  • Must be legally eligible to work in Canada
  • Excellent language skills in English, Hindi, and Punjabi (spoken & written)
  • Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Comfortable using the internet, email systems, online tools, and research
  • Highly organized with strong attention to detail
  • Presentable, professional, and well-spoken
  • Educated, with strong communication and comprehension skills
  • Ability to multitask and work independently
  • High level of trustworthiness and confidentiality

Preferred

  • Prior experience as a Secretary, Office Administrator, or Personal Assistant
  • Experience working with owner-managed businesses
  • Familiarity with basic HR coordination or vendor management
  • Comfort handling both professional and personal responsibilities
