Overview

We are seeking a professional and organized Front Desk Administrator to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in physiotherapy or medical offices is a plus, but not mandatory. The position offers an excellent opportunity to develop administrative skills and contribute to a welcoming office atmosphere.

Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls appropriately with professional phone etiquette
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
  • Maintain organized filing systems both digitally and physically
  • Schedule appointments and manage calendars efficiently
  • Perform clerical duties such as copying, faxing, proofreading documents, and managing correspondence
  • Assist with billing and bookkeeping as needed
  • Support office operations by coordinating supplies and maintaining a clean reception area
  • Provide excellent customer support by addressing inquiries promptly and professionally
  • Ensure compliance with office policies and procedures

Experience

  • Prior administrative experience preferred, especially in medical or physio clinics
  • Familiarity with front desk operations and multi-line phone systems
  • Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and basic computer skills
  • Experience with data entry, filing, proofreading, and customer service roles is highly desirable
  • Strong organizational skills with the ability to multitask effectively
  • Excellent communication skills including phone etiquette and customer support abilities
  • Ability to work efficiently in a fast-paced environment while maintaining attention to detail

Job Type: Full-time

Pay: $17.20-$22.00 per hour
