Our client is a well-established public accounting firm located in North York, providing a full suite of accounting, tax, assurance, and advisory services to a diverse client base. They are growing and currently seeking a Staff Accountant to join their collaborative and high-performing team.
About the Role
Administrative Assistant / Processor will be responsible for front desk reception, processing tax and financial documents, client communication, and administrative support to partners and staff. This role is ideal for someone who is professional, highly organized, and experienced working in an accounting office or professional services environment.

Key ResponsibilitiesReception & Client Service
- Welcome and greet clients and manage front-desk reception
- Answer incoming calls and direct inquiries to appropriate team members
- Respond to client inquiries via email and phone, providing exceptional customer service
- Provide reception coverage and general office support as needed
Document Processing & Administrative Support
- Create, edit, proofread, and assemble tax documents using TaxPrep, CaseWare, and Adobe PDF
- Prepare and assemble T1, T2, and other tax packages for partner review and signature
- Send tax packages securely via DocuSign / portal / password-protected email
- E-file returns and submit documents through CRA online services
- Obtain CRA authorization forms and submit supporting materials via Rep-A-Client
- Follow up with clients regarding outstanding signatures or information requests
- Scan, file, and maintain secure digital and physical client records in accordance with firm policies
- Assist with monthly billing packages and invoice distribution
- Manage courier and mail processing (incoming and outgoing)
Office Administration
- Maintain front desk organization and meeting room readiness
- Support internal staff by formatting documents, printing packages, and updating trackers and logs
- Assist with general office tasks and occasional project-based admin support
Qualifications
- 2+ years administrative or receptionist experience in an accounting / tax / professional services environment preferred
- Strong proficiency with Microsoft Office, PDF tools, scanners, and email systems
- Experience with TaxPrep, CaseWare, CRA online services, DocuSign or portal systems considered an asset
- Excellent written and verbal communication skills
- Strong attention to detail, confidentiality, and accuracy
- Ability to work in a deadline-driven environment (particularly during tax season)
- Professional demeanor and exceptional client service mindset
- Ability to work independently and collaboratively within a team
