Office Administrator

Overview
The Office Administrator plays a central role in ensuring the smooth and efficient operation of an organization's daily administrative functions. This position serves as the backbone of office management—supporting staff, coordinating office activities, and maintaining organizational systems that enable teams to work effectively.
Responsibilities
- Manage safety documentation and reporting via ISN (ISNetworld), maintaining up-to-date records and certifications
- Enter sales orders into QuickBooks, ensuring accuracy of customer and order information.
- Maintain goods receipting and inventory management, verifying received items match purchase orders and are processed correctly.
- Prepare and issue invoices, ensuring timely billing and resolution of discrepancies.
- Maintain organized and compliant records for all administrative processes.
- Manage correspondence, handle incoming calls and emails, schedule meetings, and maintain office records.
- Oversee office supplies, equipment maintenance, and vendor relationships to ensure a functional work environment.
- Prepare reports, letters, and presentations; organize and maintain filing systems (both physical and digital)
- Assist with basic bookkeeping, expense tracking, and invoice processing
- Coordinate onboarding for new employees, maintain attendance records, and support HR documentation.
- Ensure adherence to company policies, health and safety standards, and confidentiality protocols.
Qualifications
- Strong organizational and multitasking abilities
- Competence in QuickBooks for sales order entry, invoicing, and goods receipting.
- Excellent written and verbal communication
- Proficiency in office software (e.g., Microsoft Office Suite or Google Workspace)
- Attention to detail and problem-solving mindset
- Professional demeanor and discretion
- Ability to work independently and support multiple teams
- Ability to manage competing priorities and work under pressure.
- Commitment to maintaining business standards and continuous improvement
- Diploma in Business Administration, Office Management, or related field
- Previous experience in an administrative or office coordination role preferred
- Familiarity with bookkeeping or HR support functions is an advantage
