The Administrator / Receptionist position is an integral role that entails front desk reception, data entry and file maintenance responsibilities. This individual needs to have strong interpersonal, organizational and communication skills and be comfortable in Microsoft Office (especially Excel). This position reports to the Controller.

As a receptionist, this individual will be the first point of contact for our company. However, administrative activities will take up the majority of this person's time. We are seeking someone with a positive attitude who is comfortable working for an industrial / construction company and is able to balance multiple tasks

Responsibilities:

Data and Time Entry:

  • Printing timecards submitted through email and OneDrive.

  • Entry of employee and subcontractor timecards on a daily basis.

  • Charge company trucks to projects based on timecards and audit when necessary.

  • Reconcile time entry to ensure all timecards have been received.

  • Create purchase orders for Project Managers and Site Superintendents.

  • Support other staff performing ad hoc duties as required.

Front Desk Reception:

  • Greeting people at the door.

  • Answering phones.

  • Coordinate pickup and delivery of packages at reception.

  • Opening and sorting incoming mail and sending outgoing mail.

  • Printing supplier invoices, packing slips and purchase requisitions received electronically.

  • Coordinating paper flow of purchasing documents including invoices, packing slips, purchase orders and other similar items.

  • Maintain organization of common area including the kitchen, front entrance and main floor printer area.

Other:

  • Ordering and maintaining office supplies.

  • Assist Human Resources with orientations and drug testing when needed.

  • Assisting Project Managers with administrative tasks when needed.

  • Cross-training with other Admin/Accounting roles.

  • Other duties as assigned by the Controller or Operations Manager.
