Hays Specialist Recruitment is partnering with a leading utility organization, committed to delivering reliable energy solutions and exceptional customer service. This is a contract role within the Operations Support Office, providing critical administrative and operational support to ensure smooth day-to-day processes.
Key Responsibilities
- Provide comprehensive administrative support, including calendar management, meeting coordination, and follow-up.
- Assist with invoice processing, expense management, and ordering office supplies.
- Prepare and format reports and documents while maintaining accuracy and confidentiality.
- Manage departmental record-keeping in compliance with corporate retention schedules and recognized records management practices.
- Act as a point of contact for incoming queries and documentation flow within the department.
- Conduct research on best practices and recommend process improvements to enhance administrative efficiency.
What You Need to Succeed
- Undergraduate degree or college diploma in Business Administration, Finance, or related field.
- Approximately 3 years of administrative experience in a fast-paced environment.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and familiarity with various office automation tools.
- Experience with SuccessFactors (SAP) is an asset.
- Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent communication and interpersonal skills; proven ability to build relationships and deliver high-quality customer service.
- Demonstrated financial acumen and resourcefulness in problem-solving and process improvement.
- Self-motivated and able to work independently while managing competing priorities.
