Position Overview
We are seeking a detail-oriented and organized Legal Administrative Assistant to join our team. The ideal candidate will assist immigration consultants and legal professionals in managing documentation, client communication, accounting records, and case preparation. This role requires strong administrative, communication, and financial recordkeeping skills.
Key Responsibilities
Schedule client appointments and manage calendars, handling phone and email inquiries.
Prepare, proofread, and format immigration applications, legal correspondence, and client documents.
Maintain and organize client files (digital and physical), ensuring accuracy and completeness.
Review forms and supporting documents for accuracy and coordinate with clients to gather missing information.
Draft standard correspondence (letters, affidavits, application summaries) under supervision.
Perform data entry and update case management systems with current client information.
Assist consultants in preparing applications for IRCC, Service Canada, and other authorities.
Manage payments, invoices, and sales receipts using QuickBooks, ensuring accurate financial records.
Assist with monthly accounting reconciliation and maintain financial documentation.
Promote additional services to clients, building trust and supporting long-term retention.
Handle general office tasks (filing, clerical duties) and assist with day-to-day operations.
Post relevant legal updates and industry insights on business social media channels.
Qualifications
College Diploma or certificate in a related field.
Minimum 1–2 years of experience in an Administrative Assistant, Immigration or legal office preferred.
Experience with QuickBooks (invoicing, payment tracking, and sales receipt management) is an asset.
Excellent verbal and written communication skills in English.
Proficiency in Microsoft Office (Word, Excel, Outlook) and digital filing systems.
Strong attention to detail and organizational abilities.
Ability to handle confidential information with professionalism.
Knowledge of Canadian immigration forms and procedures is an asset.
Job Types: Full-time, Permanent
Pay: Up to $17.60 per hour + Performance bonus
Expected hours: 40 per week
