Job Description

The candidate will provide high-level executive and operational support to C-level executives. This support includes, but is not limited to, day-to-day administrative functions, assisting with client engagement and communications, and acting as a critical link between the teams. The ideal candidate is mature, organized, detail-oriented, proactive, tech-savvy, skilled in customer communication and sales enablement tools, and highly effective at managing multiple priorities.

Responsibilities:

General Executive Support

  • Manage and maintain assigned executives' calendars, including meetings, appointments, and reminders for key deadlines.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate and organize executive and team meetings and events in collaboration with relevant staff.
  • Ensure executives are fully prepared for meetings and events by assembling materials and necessary information.
  • Develop a strong understanding of each executive's business areas and proactively support related team members.
  • Arrange travel, including booking flights, hotels, and transportation.
  • Manage and organize files, documents, reports, and presentations.
  • Handle ad-hoc issues, solve problems, and act on behalf of the executives when appropriate.
  • Prepare meeting agendas, take meeting notes, and track action items to ensure accountability and follow-up.
  • Maintain organized documentation, contracts, and sales/marketing files.
  • Manage sensitive and confidential information with absolute discretion.

Customer Relations & CRM

  • Serve as a point of contact for internal and external clients, providing timely and professional support.
  • Address general client inquiries or route them to the appropriate department.
  • Assist in strengthening customer relationships through follow-ups, surveys, and engagement initiatives.
  • Demonstrate strong knowledge of CRM systems and procedures to ensure accurate data entry, tracking, and follow-up.
  • Support logistics for client and industry events as needed.

Team Collaboration

  • Work collaboratively with other Executive Assistants to facilitate smooth workflows and operational efficiency.
  • Participate in regular team check-ins to align on priorities and share updates.
  • Provide cross-coverage and backup support during absences or peak periods.

Qualifications:

  • 2–3 years of experience in executive support.
  • Proficiency with CRM systems such as Salesforce or HubSpot.
  • Ability to use sales applications, dashboards, and reporting tools.
  • Strong organizational skills and superb communication skills.
  • Excellent customer service and relationship-building abilities.
  • Ability to multitask, work independently, and support cross-functional teams.
  • Proficiency in Microsoft Office Suite and other relevant productivity tools.
