Client Care Coordinator/Receptionist

Job Summary
We are seeking a warm, detail-oriented, and organized Client Care Coordinator to be the face and voice of our Edmonton studio for both INKJI Permanent Makeup Studio & Academy and OOYU SKIN Korean Medispa. This person will be responsible for ensuring every client experience is seamless—from the first inquiry to post-service follow-up. The ideal candidate will love creating meaningful connections, be driven by results, and have a keen eye for both aesthetics and client satisfaction.
Responsibilities
- Serve as the main point of contact for all client interactions—greeting clients, answering questions, handling feedback with grace, and making every visit memorable.
- Coordinate daily studio flow by managing appointments, ensuring timely service delivery, and supporting aestheticians and artists with scheduling needs.
- Track and optimize client retention through feedback, follow-ups, and loyalty initiatives.
- Support implementation of monthly promotions and communicate upcoming sales/events to clients via email, phone, and in-person conversations.
- Collect and organize content for reviews, testimonials, and before-and-after visuals.
- Collaborate with marketing team to align on messaging and ensure consistent branding across all client touchpoints.
- Maintain studio aesthetics by ensuring promotional materials, signage, and displays are always clean, on-brand, and beautifully presented.
- Assist with events like workshops, appreciation days, and product launches, handling RSVPs, welcome gifts, and follow-up communication.
- Support the team with light administrative duties such as sales batching, basic inventory tracking, and reporting to Studio Manager.
- Execute comprehensive daily, weekly, and monthly reporting routines with meticulous attention to detail, ensuring 100% accuracy in sales data, inventory counts, and client metrics.
Qualifications
- Exceptional communication and interpersonal skills—you genuinely enjoy talking with people and making them feel seen.
- Strong organizational abilities with high attention to detail and follow-through.
- Positive, solution-oriented attitude and ability to handle occasional client challenges with professionalism and empathy.
- Sales-friendly mindset with a comfort in introducing promotions, products, and upselling add-on services when appropriate.
- Interest in skincare, wellness, and beauty industries is a strong plus.
- Experience in client-facing roles (hospitality, beauty, spa, medical aesthetics, etc.) preferred.
- Familiarity with booking systems (Acuity or similar) and some digital tools (Google Workspace, Instagram, Canva, etc.)
