The Role

We are seeking a highly organized and detail-oriented Operations & Systems Coordinator to oversee administrative, reporting, and systems management for the 1911 Gold Inc. remote camp. This role is responsible for developing, implementing, and maintaining operational systems, reporting structures, and process documentation to ensure smooth camp operations.

Key Responsibilities

  • Develop, maintain, and update camp operations manuals, SOPs, and reporting templates.
  • Source or create software and templates for manual writing, asset management, scheduling, payroll, and reporting, primarily using Smartsheet or similar platforms.
  • Create and maintain schedules for company, customers, suppliers, and individual staff, as well as a Camp Task Calendar.
  • Collect, track, and reconcile all receipts and reimbursements.
  • Generate payroll reports and manage reimbursements using payroll systems.
  • Design bonus and performance tracking structures for employees based on deliverables.
  • Develop and maintain task tracking and monitoring systems for operational tasks and camp activities.
  • Oversee file management/access systems for sheets, documents, and PDFs to ensure proper organization and accessibility.
  • Produce weekly reports including sandwich/snack counts, plate counts, and schedule discrepancies.
  • Support candidate outreach and staffing availability tracking via Smartsheet or equivalent.

Qualifications

  • Minimum 3 years of experience in operations, administrative coordination, or systems management, preferably in remote or camp environments.
  • Strong Smartsheet, Excel, or equivalent workflow software skills.
  • Excellent organizational, documentation, and process development skills.
  • Strong attention to detail and ability to manage multiple concurrent tasks.
  • Experience with payroll, scheduling, and reporting systems preferred.
  • Excellent communication skills and ability to coordinate with multiple stakeholders.

Work Schedule

  • Monday - Friday , 9am-5pm
  • Occasional evening or weekend work may be required
