PROJECT COORDINATOR–POSITION OVERVIEW
POSITION OVERVIEW
The Project Coordinator at UV Pools will:
- Coordinate complex pool renovation projects from contract signing to completion
- Serve as the primary liaison between customers and operations teams
- Help build and maintain effective project schedules
- Proactively coordinate materials, schedules, and site logistics so field staff can focus on delivering quality work
PRIMARY RESPONSIBILITIESProject Coordination and Scheduling
- Build realistic, efficient project schedules in collaboration with Operations.
- Ensure customer sites are ready for scheduled installation dates
- Collect required homeowner documentation (approvals, access details, site photos)
- Plan and coordinate project phases, dependencies, and follow-up tasks
Customer Communication and Support
- Guide customers through the renovation process with clear, proactive updates
- Manage customer expectations regarding timelines, changes, and project scope
- Serve as primary point of contact for project-related questions and concerns
- Document and process change orders accurately and promptly
- Have confident, honest conversations with homeowners about change orders, timelines, and unexpected findings
- Provide excellent customer service by keeping homeowners informed, reassured, and aware of next steps throughout their project
Operations and Resource Management
- Manage purchasing and ordering for renovation projects
- Coordinate and follow up on material deliveries
- Assist with receiving materials (forklift experience is a bonus)
- Support warehouse inventory by tracking incoming project materials
- Ensure accurate tracking of materials and labour for proper job costing
Property Renovation & Maintenance Coordination
- Coordinate renovations and scheduled maintenance
- Request quotes, schedule contractors, and track completion
- Maintain property records, meter readings, and documentation
- Manage materials and vendor communication
- Report updates directly to the Owner
IDEAL EXPERIENCE and EDUCATION
- 2 to 3 years of successful project coordination or management experience
- Proven track record of delivering projects on time and within budget
- Experience with construction, renovation, or home improvement projects preferred
- Proficiency with project management software and digital tools
- Post-secondary education preferred
- Local knowledge of Winnipeg and surrounding areas is a must (to help with realistic scheduling and efficient route planning)

WORKING CONDITIONS

Your Day-to-Day Life Will Include:
- Working with the Head of Operations building 'business-smart' schedules that actually work in the real world

- Coordinating with homeowners to ensure their sites are ready for install
- Managing purchasing and ordering to keep projects moving
- Maintaining accurate change order reporting
