The Role
As the Executive Assistant, you will provide high-level administrative and logistical support to senior leaders, ensuring seamless operations across regions. Your expertise in scheduling, travel coordination, and document management will play a key role in enabling leadership to focus on strategic priorities.
- Manage complex executive calendars and coordinate meetings across multiple time zones.
- Organize international and domestic travel, including flights, accommodations, ground transportation, visas, and other requirements.
- Prepare and process expense reports in line with company policies.
- Oversee invoice tracking and ensure accurate submission, categorization, and payment processing.
- Support contract administration and maintain accurate tracking of deadlines, deliverables, and amendments.
- Maintain organized digital and paper records, keeping internal systems and databases up to date.
- Plan and support team meetings/workshops
- Assist with onboarding of new staff and ensure smooth integration into administrative processes.
What You Bring
You are a professional who handles sensitive information with discretion and understands the importance of seamless executive support. You also offer:
- 3 to 5 years of experience as an Executive Assistant or in a senior administrative role.
- Demonstrated ability to manage complex scheduling and support teams working across time zones.
- Strong organizational skills, attention to detail, and a proactive approach to problem-solving.
- High level of discretion and professionalism in handling confidential information.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, SharePoint, and Teams.
- Flexibility to travel occasionally for event coordination.
