Facility and Venue Coordinator

In this role, you will be responsible for ensuring that all event spaces are prepared, well-maintained, and meet the needs of both the event and participants. This is an excellent opportunity to gain hands-on experience in event planning and venue management while contributing to the success of our events.
**Responsibilities**:
- **Venue Coordination**: Assist in identifying, booking, and coordinating venues for events, ensuring that they meet the specific requirements of each event.
- **Facility Setup**: Work closely with event planners and vendors to ensure that venues are set up correctly, including seating arrangements, signage, equipment, and other logístical needs.
- **Vendor Liaison**: Coordinate with facility managers and external vendors (e.g., catering, AV, security) to ensure smooth operations before, during, and after events.
- **Logistics Management**: Oversee the logistics of venue operations, including parking, accessibility, and adherence to venue rules and regulations.
- **Onsite Support**: Provide onsite support during events to ensure that facilities are running smoothly and address any issues that may arise.
- **Health & Safety Compliance**: Ensure that venues comply with all health, safety, and accessibility regulations, and coordinate with relevant parties to address any concerns.
- **Post-Event Follow-Up**: Assist in post-event venue evaluations, including checking for damages, ensuring proper cleanup, and gathering feedback for future improvements.
- **Budget Management**: Assist in managing venue-related costs, including negotiating with vendors and ensuring expenses stay within budget.
- **Relationship Management**: Build and maintain strong relationships with venue contacts to ensure ongoing positive partnerships.
**Qualifications**:
- Strong organizational and multitasking skills, with the ability to manage multiple venues and tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to work effectively with vendors, venue staff, and internal teams.
- Attention to detail and problem-solving abilities, especially in a fast-paced event environment.
- Experience in event planning, venue coordination, or facility management is a plus but not required.
- Proficiency in Microsoft Office Suite (Word, Excel) or Google Workspace tools.
- A proactive attitude, with a willingness to take initiative and work independently as needed.
- Flexibility and adaptability, especially when managing on-site logistics during events.
