The Facilities Administrator at Ornge will play a key role in providing front desk services and overseeing parcel shipping and receiving operating at our head office. This position is responsible for ensuring efficient customer service through effective communication and logistics with both internal teams’ external partners. Additionally, the Facilities Administrator will support the Facilities Department with a variety of administrative tasks, including managing documentation, tracking financials, assisting with budgeting handling procurement, and coordinating with vendors - all while ensuring smooth operations and adherence to compliance standards.

Key Accountabilities:

- Answers and screens all incoming calls, dealing with inquiries and ensuring that all calls are handled professionally and in a timely manner.
- Manages the front reception area including couriers, mails, and all walk-in traffic.
- Meets and greets visitors and ensure that they sign in and out.
- Coordinates with EAs and Support Staff for meeting set up.
- Assists with distribution of business cards, ID cards, access fobs, and uniforms.
- Administration of invoicing and SAP procurement for the Facilities department.
- Updates and maintains policies, procedures, and programming documentation for the Facilities Department.
- Shared oversight with day-to-day activities at head office of contractors, suppliers, and service vendors within the facilities department.
- Other duties as assigned.

Qualifications:

- High school diploma.
- 1-2 years of experience.
- College diploma in Office Administration is preferred.
- Experience working with the public, customer service, and/or front-facing reception is preferred.
