Claren Academy is seeking an **Administrative Assistant** to join our growing, dynamic school located in the heart of Yaletown.
This role is ideal for someone who is flexible and thrives in taking on a variety of work.
**Job Responsibilities include, but are not limited to**:
**Office Administration**
- Works on a variety of projects, as requested
- Maintains a filing system for all documents
- Coordinates communication and requirements with building maintenance
- Organizes and coordinates staff events
- Proactively updates our website
- Coordinates and formats newsletters
- Administrator for the Blackbaud database
- Ensures confidentiality and accuracy of student administrative records
- Ensures all of our permits and insurance are up to date
- Orders supplies
- Coordinates couriers and deliveries
- Other duties, as required.
**Accounting Support**
- Assists with AP & AR data entry and follow up
- Creates invoices, accepts payments, records payments, manages PAD and EFT for tuition
- Downloads bank statements
- Assists with audits
- Records donations
**Executive Assistance**
- Provides administrative support for the Executive Director and Principal
- Organizes and coordinates meetings
- Records and summarizes Board meeting minutes (one evening per month)
**HR Administration**
- Assists with the onboarding and offboarding of new employees
- Provides assistance and coordination in the recruitment of new employees
- Coordinates the administration of our employee benefits plan
**Required Skills & Experience**
- Post-secondary education in administration or the equivalent education and work experience
- 5+ years of administrative experience
- Technically savvy; strong word, excel, PowerPoint QuickBooks online, and internet search capabilities
- A strong communicator verbally and written
- Strong ability to work remotely in a dynamic work environment that requires flexibility, multitasking and prioritizing
- A quick learner with the ability to identify new ways of doing things more efficiently and effectively
- A strong self-starter work ethic/attitude
