**Job Summary**:
We are looking for an Executive Assistant & Office Manager to work out of our North Burnaby office. This role will perform executive duties for the CEO, as well as manage the office day to day administrative functions. Your primary goal is to support the CEO and Ekona staff by being helpful and resourceful, anticipating office and the CEO’s needs, and presenting a professional and pleasant demeanour.

**Primary Responsibilities**:
EA functions (for the CEO)
- Calendar Management; setting up meetings
- Take meeting minutes
- Arrange travel arrangements, when required
- Expense reports & reconciliation
- Other duties as required

Board & Investor Management
- Plan and manage quarterly board and strategic investor meetings
- Assist with board travel if required
- Schedule meetings and take minutes
- Investor relations including organizing PowerPoint presentations
- Other duties as required

Office Manager
- General administrative support for the office
- Office Management including ordering new office supplies, furniture
- Managing office vendors - cleaners, recycling, facilities
- Research new suppliers & vendors
- Manage IT service providers, troubleshoot where possible
- Arrange and plan social activities
- Assist with onboarding & training new hires

**Qualifications**:

- At least 5 years of previous Executive Assistant/ Office Management experience; preferably supporting C-suite level Executives
- Self-driven and proactive; ability to look ahead and predict needs
- Exceptional interpersonal and communications skills
- Highly organized with the ability to manage own time efficiently
- Ability to work both independently and with a team
- Ability to deal with sensitive situations in a professional manner and handle information with discretion
- Proficient with Microsoft Office and willingness and ability to learn new software
- Other duties as required
